The Archive was created for the temporary storage of archival documents accumulated during the activities of Igor Sikorsky Kyiv Polytechnic Institute, the use of information contained in these documents for official, production, scientific and other purposes, as well as for the protection of the rights and legitimate interests of citizens.
In its activities, the Archive is guided by the Constitution and laws of Ukraine, decrees of the President of Ukraine and resolutions of the Verkhovna Rada of Ukraine adopted in accordance with the Constitution and laws of Ukraine, acts of the Cabinet of Ministers of Ukraine, other regulatory acts, as well as the regulatory framework of Igor Sikorsky Kyiv Polytechnic Institute, and the Regulations on the Archive.
MAIN TASKS OF THE ARCHIVE:
- Acceptance of archival documents with various types of material information carriers from the structural subdivisions of Igor Sikorsky Kyiv Polytechnic Institute.
- Control, together with the Department of Case Management, over the state of storage and correctness of documents in the structural units of Igor Sikorsky Kyiv Polytechnic Institute.
- Participation in the compilation and approval of the consolidated nomenclature of Igor Sikorsky Kyiv Polytechnic Institute cases, checking the compliance of documents in the case according to the approved nomenclature.
- Maintaining state records of documents of the National Archival Fond and annual submission of information on their number in the form established by the Rules for the organization of record keeping and archival storage of documents in state bodies, local governments, enterprises, institutions and organizations, approved by the order of the Ministry of Justice of Ukraine dated June 18, 2015 No. 1000/5, registered with the Ministry of Justice of Ukraine on June 22, 2015 under No. 736/27181 (hereinafter referred to as the Rules), to the relevant state archival institution, archival department of the city council.
- Conducting a preliminary examination of the value of documents in storage, drafting and submitting to the expert commission of Igor Sikorsky Kyiv Polytechnic Institute the drafts of descriptions of permanent storage files, descriptions of long-term (over 10 years) storage files, descriptions of personnel files (personnel), acts of withdrawal for destruction of documents not included in the National Archival Fond, acts of withdrawal of documents from the National Archival Fond, acts of irreparable damage to documents of the National Archival Fond, acts of failure to
- Creation and improvement of reference apparatus to archival documents.
- Organization of use of archival documents, provision of archival certificates, copies, extracts from documents to legal entities and individuals in accordance with the Rules.
- Preparation, transfer and transportation (at the expense of the organization) of documents of the National Archival Fond to the relevant state archival institution, archival department of the city council.
- Participation in events aimed at professional development of employees of the organization responsible for work with documents.
THE ARCHIVE DOCUMENTS INCLUDE:
- paper-based documents included in the National Archival Fond, long-term (more than 10 years) storage, created by the structural units of Igor Sikorsky Kyiv Polytechnic Institute, and documents on personnel issues;
- scientific and technical documentation, audiovisual and electronic documents created by Igor Sikorsky Kyiv Polytechnic Institute or obtained by Igor Sikorsky Kyiv Polytechnic Institute on legal grounds;
- funds of personal origin of Igor Sikorsky Kyiv Polytechnic Institute employees who played a role in the history of development of a particular sphere of life of the country or its separate region;
- documents with different types of material information carriers of subordinate structural units of Igor Sikorsky Kyiv Polytechnic Institute, which were liquidated;
- printed publications that complement archival documents and are necessary for scientific, methodological and information and reference work of the Igor Sikorsky Kyiv Polytechnic Institute Archives;
- reference and accounting apparatus for archival documents;
- documents with different types of material information carriers, which should be stored in the Igor Sikorsky Kyiv Polytechnic Institute Archives separately.
